FAQ: Since the Substitute Needed field was added to leave requests, how do I delete the additional field I previously had defined to track if substitutes were needed?

If you previously had set up an additional leave request field to track if a substitute is needed, that field can be deleted by completing the steps outlined below for regular leave requests or FMLA leave requests.

Tip:  Before completing the steps below to delete the field, review the leaves requests that have not yet been processed in order to determine which ones need substitutes, and complete the new Substitute Needed field based on the response in the old field to be deleted.  For example, go into the Edit Leave Request Substitutes option, change the filter for the Substitute Needed column to show all, and then click the Edit button to review the details for a leave request.  The new standard Substitute Needed field can be completed on the Edit Leave Request Substitutes – Detail screen by clicking the down-arrow button for the Substitute Needed field and selecting Yes or No, and then the changes can be saved.

Deleting additional field for regular leave requests:

  • Go into the Leaves option by selecting the Maintenance menu in Payroll and then Leaves.
  • Bring up the leave for which to make changes.
  • Click the Web Link Leave Options tab.
  • In the Additional Leave Request Fields List, click the Delete button to the left of the desired field to delete; when prompted to delete the line (and the data records for any fields that have been used with leave request entries, if applicable), click Yes.
  • Click the Save button.

Deleting additional field for FMLA leave requests:

  • Go into Leave Request Options by selecting the Options menu in Payroll, the Leave Requests submenu, and then Leave Request Options.  (Note:  Only supervisors can access the Leave Request Options.)
  • Click the FMLA tab.
  • In the Additional Leave Request Fields List, click the Delete button to the left of the desired field to delete; when prompted to delete the line (and the data records for any fields that have been used with leave request entries, if applicable), click Yes.
  • Click the Save button.
