Training Tidbit: Is there a template that can be used to quickly set up a new user within the User Security option?

A user can be created within the User Security option to utilize as a template with all the desired settings selected for a specific group of employees.  For example, a user template can be created with an ID of ELTEACHER and have all the appropriate rights and options that an elementary teacher needs for Web Link (such as Full Access rights to the applicable Web Link options and assigned to the appropriate account groups, approval trees, vendor groups, ship to addresses, and reports, etc.).  Then when a new user that is part of that group needs to be added (for example, a new elementary teacher needs to be set up as a Web Link user), the template can be brought up and copied (see steps below for copying).

To copy a template and create a new user, complete the following:

  • At the User Security screen, click the Find button and bring up the desired template.
  • Change the ID displayed in the User ID field to be the new ID for the user (key over the top of the existing ID of the template).
  • Change the name in the User Name field to be for the new user.
  • Complete the Employee ID field with the correct ID for the employee as defined in Payroll.
  • Click the Save button.
  • When prompted to change, create new, or revert to original, click the Create New button to add the new user with the designated settings.
  • If needed, make additional changes for the new user and save any changes.
