Training Tidbit: Backups

Are you making regular backups of your data within the School Accounting System?  Do you create a backup when recommended to do so on the checklists included in the Help File (i.e. prior to updating a Payroll or Accounts Payable check run)?

You would be surprised to know how many times we have encountered users in the following situations:

  • Did not have a recent backup (most recent backup was from 6+ months ago)
  • Had thought his/her tech was making the backups but in reality the tech was not
  • The tech scheduled automatic backups but the backup was not completed successfully (there was not a usable backup for restoring)

Making regular backups of your data will save you valuable time if you would ever need to restore your data.  There are many reasons as to how your database could become corrupt, forcing you to restore to your most recent backup; the reasons include but are not limited to power outages, hardware or software failure, network issues, computer viruses, or improperly closing out of the program.  Imagine how much time it would take to recreate 6+ months of data, or even 1 or 2 days worth of information for that matter.  So stop and think when was the last time you made a backup, and if needed, make a backup today!

Tip:  In addition to you (or your tech) making nightly or weekly backups, be sure to always make a backup prior to updating any files in the School Accounting System, such as prior to updating a Payroll or Accounts Payable check run or prior to installing an update.
