When making an entry in an Employee Absences batch for a teacher who was absent, the Subbed For Employee ID field is appearing (and should not be). Why is this field appearing when making an absence entry?
The Subbed For Employee ID field will only appear if the pay code entered in the Pay Code ID field is not tied to a leave within the Pay Code File. Since the entry is for a teacher’s absence, the pay code should be tied to a leave in the Pay Code File and therefore, the Subbed For Employee ID field should not be appearing. If the entry were to be saved without having the pay code tied to a leave ID, the system will not consider the entry as an absence and will not decrease the leave balance.
To fix this, do the following:
- Verify the correct pay code is being used in the entry.
- If using the correct pay code, access the Pay Code File by selecting the Maintenance menu from the Payroll screen and then Pay Codes.
- Bring up the pay code being used to make absence entries.
- In the Leave ID field, enter the ID of the leave that should be decreased when making entries in Employee Absences (or Pay Period Entries) batches using this pay code.
- Click the Save button.
