Training Tidbit: Track hours worked for all employees in Payroll for Affordable Care Act

In regards to the Affordable Care Act and large employers offering health insurance to full-time employees, it is a good idea to track the hours worked for all of your employees within the School Accounting System and not just your part-time employees.  The reason being is that a full-time employee may change positions in the middle of the year and move to a part-time position, causing the hours worked within the current measurement period to now be tracked for that employee.  If all the hours worked had previously been tracked for all your employees, all the hours worked for this employee would already be available in the system at the time of the position change; however, if you had not been previously tracking the hours worked for that person, you would need to go back and determine the employee’s hours and manually edit the hours worked or complete an adjustment, if applicable.

Note:  For additional information on setting up the School Accounting System to track the hours worked for contract and unit employees, refer to the Tracking Hours Worked topic in the Help File.  For detailed instructions on setting up and utilizing the Affordable Care Act Hours Tracking option within the School Accounting System, refer to the Affordable Care Act Hours Tracking Completion Checklist topic in the Help File.  Webinars covering this topic are also available (or a recording of the webinar, if needed); to register for an upcoming webinar, access the Training Calendar on our website.

Additional Help:  The Missouri School Boards’ Association published an excellent document for information on school district obligations for offering health care coverage to eligible employees under the Affordable Care Act, and they have permitted us to share this document:  click here to access the Missouri School Boards’ Association document.  The information in the document is applicable for school districts in all states and not just those located in Missouri.
