Training Tidbit: Did you know employee reports emailed from within Payroll, Human Resources, and Negotiations can be password protected?

To set up the system to have the emailed reports that contain employee information sent as a password-protected .PDF file attachment (with the password using the format set in the Password Format field on the Payroll screen in the Email Manager), complete the following steps:

  • From the main School Accounting System screen, select the Maintenance menu and then Email Manager.
  • At the Email Manager screen, click the Payroll tab.
  • Select the Password Protect Employee Reports (applies to PR, HR, and NG) field in the Report Options section.  A checkmark will appear in the box if the field is selected.  (Note:  This same field also appears on the Human Resources and Negotiations tabs in the Email Manager, and if the field is selected on one of the tabs, it will also be selected on the other tabs.)
  • Verify the Password Format field is completed with the desired format.
  • Click the Save button to save your changes.

Then when emailing an applicable employee report (one that includes the Employee ID parameter), be sure to select the Email Recipients Individual Pages field, select the Employees field in the Send to Recipients section, and select the Portable Document Format (PDF) field in the File Type section; the report will then be emailed to the specified employees as a password-protected .PDF file attachment using the designated password format.
