FAQ: Should I order forms for 1099s, W2s, 1095s, and 1094s?

There are different options available for printing 1099-MISC, 1099-NEC, W2, 1095, and 1094 forms within the School Accounting System.  Refer to the applicable form below to review which options are available and determine whether or not forms must be purchased.

For 1099-MISC Forms:

  • With the School Accounting System, 1099-MISC forms can be printed using one of the following:  1) preprinted forms with two on a page; 2) blank forms (those with perforations and backer information only) with two on a page; or 3) plain copy paper.  For those organization who have pressure seal equipment, the 1099-MISC forms can also be printed using either preprinted pressure seal forms or blank pressure seal forms.
  • Important Note:  If using option 1 above to print on preprinted forms, do NOT purchase Copy A preprinted 1099-MISC forms, since the 1099-MISC information will be filed electronically to the federal government (using the direct connection to the Internal Revenue Service’s application from within the School Accounting System, which does not require any pre-authorization or approval process).
  • If using plain copy paper to print the 1099-MISC forms, the School Accounting System can print the recipient instructions, in addition to the forms containing the images (boxes) and data.

For 1099-NEC Forms:

  • With the School Accounting System, 1099-NEC forms can be printed using one of the following:  1) preprinted forms with three on a page; 2) blank forms (those with perforations and backer information only) with three on a page; or 3) plain copy paper.  For those organization who have pressure seal equipment, the 1099-NEC forms can also be printed using either preprinted pressure seal forms or blank pressure seal forms.
  • Important Note:  If using option 1 above to print on preprinted forms, do NOT purchase Copy A preprinted 1099-NEC forms, since the 1099-NEC information will be filed electronically to the federal government (using the direct connection to the Internal Revenue Service’s application from within the School Accounting System, which does not require any pre-authorization or approval process).
  • If using plain copy paper to print the 1099-NEC forms, the School Accounting System can print the recipient instructions, in addition to the forms containing the images (boxes) and data.

For W2 Forms:

  • With the School Accounting System, W2s can be printed using one of the following:  1) preprinted forms with two or four on a page; 2) blank forms (those with perforations and backer information only) with two or four on a page; or 3) plain copy paper.  For those organization who have pressure seal equipment, the W2s can also be printed using either preprinted pressure seal forms or blank pressure seal forms.
  • Important Note:  If using option 1 above to print on preprinted forms, do NOT purchase Copy A preprinted W2 forms, since the W2 information will be filed electronically to the federal government (by creating the federal W2 electronic file from within the School Accounting System and uploading it to the Social Security Administration using the Business Services Online (BSO) website).
  • If using plain copy paper to print the W2s, the School Accounting System can print the recipient instructions, in addition to the forms containing the images (boxes) and data.
  • The W2s can also be emailed to the employees from within the School Accounting System, and if applicable, accessed through the Web Link module.

For 1094 and 1095 Forms:

  • Within the School Accounting System, the 1095-C and 1095-B forms can be printed either landscape or portrait using one of the following:  1) plain copy paper; or 2) blank forms (those with perforations and backer information only).  The 1095-C forms also have a third option available for those organization who have pressure seal equipment; the 1095-C forms can be printed using blank pressure seal forms.
  • The 1094-C and 1094-B forms can be printed on plain copy paper.
  • Important Note:  Do NOT purchase preprinted 1094 or 1095 forms.  Also, as a reminder, the 1094 and 1095 information will be filed electronically to the federal government (using the direct connection to the Internal Revenue Service’s application from within the School Accounting System, which does not require any pre-authorization or approval process).
  • If using plain copy paper to print the 1095s, the School Accounting System can print the recipient instructions, in addition to the forms containing the images (boxes) and data.
  • The 1095s can also be emailed to the employees from within the School Accounting System, and if applicable, accessed through the Web Link module.
